The Zeiss Axiovert 5, the Absolute Encoder, and a Quote That Almost Fooled Me

It was a Tuesday in March 2025 when the quote landed in my inbox. Subject line: “Complete imaging station – final offer.” Complete. That word should have made me happy. Instead, it made me suspicious.
I'm a quality and brand compliance manager for a lab-equipment and metrology services company. I review every deliverable before it reaches customers—roughly 200 unique items a year. I've been doing this for four years, and the pattern is always the same. In Q1 2024, I rejected 12% of first deliveries because the specification didn't match what was promised. So when a vendor says “complete,” I translate it to “we need to talk.”
The quote included a Zeiss Axiovert 5 microscope, a motorized stage with a high-resolution encoder, and a FLIR T1040 thermal imaging camera. The price was 18% lower than anything I'd seen. It looked like a win. I've learned that “looks like a win” is often the beginning of a long, expensive problem.
Step One: Read the Zeiss Manuals
I did what I always do before approving an equipment purchase: I went to the manufacturer's site and downloaded the official PDFs. The Zeiss manuals for the Axiovert 5 microscope are public, searchable, and full of details that a sales summary won't mention.
According to Zeiss's published specifications (zeiss.com, accessed March 2025), the Axiovert 5 is an inverted research microscope designed for live-cell imaging and multi-well assays. That part was clear enough. But the manual also lists the compatible camera ports, the stage insert options, and the exact part numbers for recommended accessories. That gave me a checklist.
I sent the vendor a simple email: “Please confirm which accessory part numbers in the Zeiss manuals are included in your quote.” Then I waited. Two days later, no response. I waited one more day. On the fourth day, the vendor called.
The Word That Changed the Order
“The quote includes everything you need,” he said.
“Does it include a motorized stage with an absolute encoder?” I asked.
There was a pause. “It has a high-resolution encoder.”
“But not absolute.”
“Do you need absolute?”
That's the problem with loose specifications. If you don't ask for absolute, you get incremental. The difference matters more than most buyers realize. An absolute encoder knows its position the moment power is restored. An incremental encoder has to travel to a home mark and reset itself. On an Axiovert 5 with a motorized stage, that means after a power flicker during a time-lapse experiment, an incremental stage may lose your focal plane and return to zero. You're not just restarting a motor—you're restarting an experiment. In my line of work, that's the difference between a usable image set and 8,000 unusable files. (I'm not exaggerating; we had exactly this happen on a CMM retrofit in 2023. The redo cost us $22,000 and delayed the launch by almost a month.)
I work with CMMs too, and no one would specify an incremental scale on a coordinate measuring machine if they could avoid it. The same logic applies to a microscope stage. The Axiovert 5 supports several motorized stage options; the question is which option the vendor chose.
The Thermal Camera Wasn't the Problem—The Calibration Was
The other line item was a FLIR T1040 thermal imaging camera. The device itself is serious. According to FLIR's published specifications, it uses a 1024 × 768 detector and is designed for precision thermography. But a thermal camera without a traceable calibration certificate is just a pretty picture machine. The quote didn't include calibration. It didn't include the emissivity reference target. It didn't include training on the analysis software.
The vendor wasn't trying to cheat me. That's the thing. He was quoting what he'd always quoted. In his mind, the hardware was the product. In my mind, the product is the measurement, and the measurement is only trustworthy if the chain from camera to calibration record is unbroken.
How to Use Eppendorf Repeater Pipette (the Short Version)
About a week later, the corrected proposal came in. Still not perfect, but closer. The real surprise came during the installation training, when the service engineer showed us the Eppendorf repeater pipette we'd ordered for the cell culture work. I had been using single-channel pipettes for years, but repeaters are a different animal.

- Set the volume dial. On the Repeater, the dial is not a set-and-forget ring. Each position corresponds to a fraction of the tip volume. If the manual says position 4 gives 25 µL with the green tip, trust the manual.
- Prime the tip. Pull liquid past the safety reservoir, then press the operating button once to expel air. If you skip this step, your first dose will be short.
- Dispense with a full press. Press the button all the way down and release it. One full press equals one dose. Partial presses cause air bubbles and skipped volumes.
- Check the liquid column. If you see gaps or bubbles after several doses, stop. Eject the tip, refill, and start over. A tiny bubble can make an entire 96-well plate useless.
That last point is not a hypothetical. In our lab, inconsistent dispensing was once traced to a cracked Combitip that looked fine from the outside. The Zeiss Axiovert 5 microscope showed the result clearly: uneven cell growth in wells that received different volumes. The microscope didn't cause the problem. It just made the problem impossible to ignore.
What Transparent Pricing Actually Looks Like
After the updated quote, the “great deal” was only 4% below the next competitor. The two weeks of back-and-forth cost us more in project time than the 4% saved. Had the vendor listed every item—absolute encoder, calibration, training, shipping, installation—from the first email, I would have signed faster and trusted him more.
That's why transparency is not just a nice-to-have in B2B buying. It is a competitive advantage. The vendor who lists all fees upfront, even if the total looks higher, usually costs less in the end. I've learned to ask “what's NOT included?” before asking “what's the price?”
Here's something vendors won't tell you: the first quote for an ongoing relationship is rarely the final number. There is usually room to negotiate once you prove you're a reliable customer. But if you never ask about calibration, acceptance testing, or absolute encoders, you'll never know which words in the quote actually mean something.
If I Could Do It Again
Looking back, I should have asked for a part-number-level quote on day one. At the time, I assumed “complete” meant complete. It didn't. If I could redo that decision, I'd send the vendor the Zeiss manual's accessory checklist and ask them to fill in the gaps before any price discussion.
But given what I knew then—that “high-resolution” is not the same as “absolute,” and that “calibration available” is not the same as “calibration included”—my skepticism was justified. The quote that almost looked great turned out to be a lesson, not a bargain.
Now every contract we sign includes three mandatory lines: absolute encoder specifications, calibration certificates for every measurement device, and a list of exclusions on the first page. It's a small change that saved us a lot of trouble. And it all started with a PDF, a manual, and a question vendors don't expect.
