A Used Zeiss CMM, a Microscope Quote, and a 6-Point Checklist: What My Purchasing Week Taught Me
It started with an email from our QC manager on a Tuesday morning. The lab's old microscope needed $2,400 in repairs, and he wasn't sure it made sense. Before I could answer, operations asked about a used Zeiss CMM for sale from a dealer in the next state. And maintenance wanted to know: Is Balluff a good brand for sensors? Plus, could I order a Bluetooth multimeter?
Three requests, one morning. Basically, my week was full. For context, I'm the office administrator for a 300-person manufacturing company. I handle equipment and service purchasing—roughly $1.2M a year across about a dozen vendors—and I report to operations and finance. When I took over purchasing in 2020, I learned the hard way that the cheapest quote isn't the real cost. This week was going to test everything I'd learned.
A used Zeiss CMM that almost happened
The operations lead was excited. A 2017 Zeiss Contura with a VAST XXT probe head, listed at $38,000. He found it under used Zeiss CMM for sale and thought we'd save at least $30,000 versus new. Honestly, I was tempted. We needed a second CMM for incoming inspection, and the budget didn't allow a new one.
But the dealer's email had a red flag I almost missed: certificate from 2021. I asked for the serial number and a copy of the calibration history. The dealer said the certificate was expired but shouldn't be a problem.
That's when I stopped myself. A used CMM without a current calibration isn't a deal; it's a project. I called a local metrology firm and asked for a budget range to recalibrate and verify a used machine. The quote was enough to wipe out most of the savings. We passed on that one.
Put another way: I didn't need the machine to look good on paper. I needed it to measure parts correctly on the first run. That is a different goal.
The microscope configuration trap

I put together a quote request and nearly sent it. Then the QC manager walked by and asked if I'd included the reflected-light objective for flat metal samples. I hadn't. The Axiolab Re that I was requesting came configured for transmitted light, for thin sections or transparent samples. Our lab does metal surfaces.
When I compared the two spec sheets side by side—Primo Star vs. Axiolab Re—I finally understood why model number matters more than price range. The similar price didn't mean the same capability. The Axiolab Re would have needed an additional objective, illumination, and a few adapters. That's probably why the base price looked similar.

The real cost only appeared when I added the accessories.

Balluff sensors and a Bluetooth multimeter
The Bluetooth multimeter was simpler, but not a non-question. I asked maintenance whether they needed wireless logging or just a remote display. They needed to record readings over an 8-hour test cycle. That changed the product category. A logging multimeter is a different animal from a basic handheld. The extra cost was justified because it directly answered what the end user needed.

But good is only meaningful when the sensing range, wiring, and environment match the application. The 6-point checklist that changed the game
After that week, I updated my own checklist. I've done maybe 80 equipment purchases over the last five years, mostly small and mid-size manufacturing. This checklist won't fit every industry, but it has changed how I buy:
- Confirm the exact model and configuration, not just the product family.
- Get serial numbers and calibration or certificate status in writing.
- Ask what the end user actually needs: sample type, measuring task, or output format.
- Compare two options with the same specifications—not the same price.
- Ask the vendor to confirm in writing that the configuration is compatible.
- Before approving, list the hidden costs: shipping, setup, training, calibration.

The principle stays the same: verify before you commit.
The bottom line is simple: 5 minutes of verification beats 5 days of correction. I still have the email that would have cost us a small fortune. I keep it as a reminder that in purchasing, the question Is this the right one? matters more than the question Is this the best price?
